Job Description

Join our dynamic CPA firm as a Receptionist and become the welcoming face of our organization. In this pivotal role, you will be the primary face of the front desk, greet clients, and ensure the smooth operation of our front office. Your exceptional communication, interpersonal and organizational skills will help create a professional and inviting atmosphere, enhancing client experience and supporting our team’s efficiency.

WHAT YOU WILL DO:

  • Greet and welcome clients and visitors in a professional and friendly manner.
  • Answer and direct incoming phone calls to appropriate staff members.
  • Maintain a clean and organized reception area.
  • Handle incoming mail, including sorting, distributing, and processing.
  • Assist with general administrative tasks, such as filing, photocopying, and data entry.
  • Assist clients with inquiries, providing information or directing them to the appropriate individual.
  • Manage client files and other documentation, ensuring confidentiality and accuracy.
  • When necessary, assist with scheduling appointments, meetings, and conference calls for partners and other staff members.
  • Support accounting staff with client-related documentation and correspondence.
  • Assist with organizing and setting up for meetings and events.

WHAT YOU WILL HAVE:

  • High school diploma or equivalent
  • Minimum of 3 years of experience in a receptionist or administrative role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Strong organizational and multitasking abilities.
  • Professional appearance and demeanor.
  • Maintain a neat and presentable work station.
  • Use of discretion and caution when handling confidential information.
  • Customer service-oriented with a friendly and approachable attitude.
  • Familiarity with office equipment such as printers, copiers, and phone systems.
  • Experience in a CPA firm or financial services environment is a plus.
  • Strong attention to detail and problem-solving skills.
  • Ability to manage and prioritize multiple tasks efficiently.
  • Basic understanding of accounting and finance terminology is advantageous.

Additional hours during busy season (Jan 15-April15 and September 1 – October 15) will be required, including some Saturdays. 

Compensation details: 22-25 Hourly Wage
