Job Description

Front Office Assistant — Hayes Advisory Group

If you’re the kind of person who can make a busy office feel calm, organized, and welcoming… keep reading.

At Hayes Advisory Group, you’ll be the first smile, first voice, and the steady hand that keeps our day running smoothly—from client greetings to calendar control to the little details that make a big difference.

The basics (up front):

  • Pay: $22/hour
  • Schedule: 32-40 hours/week
  • Flexibility: choose 4 or 5 days/week

What you’ll do (and do well):

  • Be the friendly first point of contact—answer calls, route questions, and help clients feel taken care of
  • Run the calendar: schedule appointments, send reminders, and keep the day on track
  • Keep our CRM updated and pull simple reports that help the team stay organized
  • Proofread and polish weekly articles/scripts (you’ll catch what others miss)
  • Support event preparation and administrative projects so things run smoothly
  • Keep the office running: scanning, copying, basic document organization, and general front office support
  • Help maintain a professional, welcoming space (conference room readiness, light supply coordination, etc.)

What we’re looking for:

  • Comfortable with Microsoft Office (especially Outlook + Excel )
  • Organized, reliable, and detail-oriented—even when things get busy
  • Able to work independently and follow through without constant direction
  • Professional communication skills (you’ll be interacting with clients regularly)
  • Prior administrative/front desk experience preferred
  • Strong sense of discretion and confidentiality

Why Hayes Advisory Group:

This is a great role for someone who wants stability, flexibility, and real ownership of the day-to-day operations—without being micromanaged. You’ll work with a professional team that values organization, kindness, and follow-through, and you’ll be in a position where your impact is felt immediately (clients notice great service).

If you want a job where you can take pride in keeping everything running smoothly , build strong office and client-service skills, and be part of a team that truly relies on you— we’d love to meet you. Apply today and let’s talk.
