Job Description

Front Desk & Billing Specialist

We are seeking a highly organized and detail-oriented Front Desk & Billing Specialist to support our administrative and billing operations. This position plays a vital role in managing client records, securing insurance authorizations, and ensuring smooth front office operations.

Key Responsibilities:

  • Greet and assist visitors and clients in a professional and welcoming manner
  • Answer incoming calls and route them appropriately
  • Perform general administrative duties including filing, printing, data entry, and organizing documents
  • Prepare and manage onboarding materials for new clients
  • Collect, scan, and upload client documents (e.g., insurance cards, ID)
  • Verify insurance eligibility and confirm coverage details
  • Work directly with insurance companies to secure service authorizations
  • Efficiently process and manage insurance denials
  • Follow up on unpaid claims or outstanding balances
  • Troubleshoot and resolve claim issues, communicating with relevant parties as needed
  • Coordinate with billing staff to maintain accurate and up-to-date client records
  • Prepare reports and correspondence as requested
  • Monitor and replenish office supplies
  • Provide support to team members and management as needed
  • Perform other administrative and billing-related tasks as assigned

Qualifications:

  • High school diploma or equivalent required
  • Minimum 2 years of experience in administrative support, billing, or front desk roles (behavioral health, outpatient, or ABA settings preferred)
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint)
  • Strong communication skills, both verbal and written
  • Excellent organizational and time-management abilities
  • Strong attention to detail and ability to manage multiple priorities
  • Ability to work independently and as part of a team
  • Experience working with insurance companies and understanding of claims processes is strongly preferred
  • Ability to maintain confidentiality and handle sensitive information with discretion
