Job Description

Executive Assistant to the Chief Executive Officer (Exempt)

Department: Executive

Reports To: Chief Executive Officer

FLSA Status: Exempt (Administrative)

Position Summary

As the Executive Assistant to the Chief Executive Officer, you will be responsible for assisting across all aspects of the homebuilding operations. This includes Sales, Marketing, Construction, Purchasing, Finance, and assisting in Land Acquisition. You will be responsible for assisting in executing company goals and agenda.

Key Responsibilities

Executive Support & Strategic Partnership

 

  • Manage special projects and initiatives on behalf of the Chief Executive Officer, driving timely completion and alignment with overall company objectives.
  • Facilitate communication and coordination among various departments, ensuring effective cross-functional collaboration.
  • Complete projects and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem-solving; adjusting plans.
  • Help Directors make consistent decisions by advising them of historical precedents, serving as liaison between them and the Division President.
  • Conduct analysis and assist in research for new developments and present to the Chief Executive Officer.
  • Analyze reports from various departments and look for variances/issues and report to the Chief Executive Officer.
  • Organize, prioritize, and appropriately handle documents, emails, and sensitive, confidential information and ensure action/attention required is addressed.
  • Assist with tracking month-end, quarterly, and yearly goals.
  • Improve quality results by studying, creating, evaluating and re-design processes and implementing changes to improve efficiency.
  • Arrange and manage meetings (document meetings and take notes on action items)
  • Ensure the Chief Executive Officer is fully prepared for all meetings by keeping him/her on schedule and providing necessary materials.
  • Plan and coordinate Chief Executive Officer’s travel, accommodations and trip itinerary, etc.
  • Plan, organize & manage the Chief Executive Officer's calendar, including meetings, events, and appointments, both professionally and personally.
  • Apply judgment with full understanding of urgency and priorities of the business, routinely needing to multi-task.
  • Assist office personnel with various duties/projects as needed.
  • Be willing to do other tasks as deemed necessary.

Qualifications

Education:

  • Bachelor’s degree in Business Administration, Management, Communications, or a related field. An advanced degree (e.g., MBA) could be beneficial given the strategic nature of the role.

Experience:

  • Several years of executive-level administrative support experience, ideally in a fast-paced, multi-departmental environment.
  • Experience in homebuilding or real estate operations would be a strong asset.
  • Proven ability to manage cross-functional projects, support senior leadership, and handle confidential information with discretion.

Work Environment & Compensation

Employees are paid on a bi-weekly pay scale. Bonuses are paid quarterly with yearly bonuses for goal accomplishment.
