Job Description

POSITION SUMMARY

The Business Affairs Administrator plays a key role in supporting the legal and operational integrity of Come Near. This position is responsible for administering contracts, tracking agreements, maintaining vendor compliance, and ensuring business processes align with legal and regulatory standards. The Administrator will serve as a liaison between the Operations team, external legal and tax counsel, internal stakeholders, and external partners to support smooth and compliant operations.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Contract Management

· Draft, review, route, and manage contracts, including MSAs, NDAs, SOWs, licensing agreements, and independent contractor agreements

· Develop and maintain a robust and comprehensive approval process, ensuring timely and compliant execution of contracts

· Maintain centralized contract repository and tracking system for all active agreements

· Monitor contract terms, renewal dates, and key obligations, flagging action items to internal teams

Vendor & Contractor Coordination

· Support onboarding and compliance for independent contractors and vendors

· Ensure collection and validation of required documentation (e.g., W-9s, COIs, signed agreements)

· Work with Finance and HR to align contract terms with payment and classification policies

· Assist with annual 1099 reporting

Business Affairs Support

· Provide administrative support to the COO and VP of Finance for special projects, audits, and board reporting

· Collaborate with external legal and tax counsel and VP of Finance on contract templates and risk mitigation

· Assist in ensuring compliance with IRS worker classification guidelines and organizational policies

· Support VP of Finance in organizational registration renewals, compliance documentation, and insurance policies

· Maintain confidentiality of sensitive financial, legal and donor-related information

Process Improvement

· Help build and refine workflows for contract lifecycle management

· Ensure consistency and accuracy across agreements and templates

· Partner with cross-functional teams to educate and equip staff with contract-related best practices

EDUCATION AND EXPERIENCE

· 5 years of experience in contracts administration, legal operations, business affairs, or a related field

· Strong understanding of contract terms, compliance processes, and business operations

· Experience working in a nonprofit, creative agency, or faith-based setting is a plus

· High attention to detail, discretion, and a proactive approach to problem-solving

· Strong organizational skills and experience managing multiple deadlines

· Proficiency with tools like Google Workspace, Airtable, DocuSign, and contract tracking systems

· Ability to communicate effectively across departments and with external partners

· Deep alignment with Come Near’s mission and values
